1 Responsibilities; student, instructor, and SDS
Student Responsibilities
- Complete application and initial meeting with Student Disability Services.
- Each semester the student shares their Letter of Accommodations with their instructor(s).
- The student notifies Student Disability Services that they have reached out to their instructors and requests services. Student Disability Services works as quickly as possible to put requested accommodations into place. Please note that coordinating D/deaf and Hard of Hearing accommodations can take up to 3 weeks to arrange.
- Student Disability Services works with the instructor to ensure accommodations are met, including arrangements with service providers.
- Student Disability Services communicates with the student and instructor when requests are confirmed.
- The student informs Student Disability Services when they are going to miss class, when there are changes to their schedule, or when their accommodations are not being met.
Instructor Responsibilities
- Work closely with the student who is D/deaf or Hard of Hearing to ensure all accommodations are provided.
- Work with Student Disability Services to ensure all videos are appropriately captioned. Per UI Media Accessibility policy, the instructor is requested to refrain from showing or using any uncaptioned videos until it is accessible to all students in their course. Once SDS is aware of a student requesting captioned media, a representative will connect the instructor to someone from Tier 3 ICON support or the Department of Online Education, who will help to facilitate the captioning of recorded content.
- Maintain strict confidentiality by not pointing out the service provider or student in the classroom, unless permission is given by the accommodated student.
- Provide support to the service providers by providing access to supplementary materials (i.e. ICON, syllabus, or names of required texts).
- Provide support to the service providers throughout their course and keep the service provider and student’s information confidential.
- Realize sign language interpreters and Speech-to-Text providers are professionals, who provide communication access for the D/deaf or Hard of Hearing students, but are not a substitute for captioned videos or class notes.
- Address any concerns regarding service providers directly to Student Disability Services, as soon as the concerns arise.
SDS Responsibilities
- Communicate and gather accommodation requests from students before each semester.
- Hire and schedule qualified interpreters and Speech-to-text providers and supervise their services.
- Relay messages to students and instructors quickly regarding any changes in interpreting or Speech-to-text services (i.e. substitute provider).
- Make every effort to provide course materials for service providers and expect diligence in the provider’s use of preparation time.
- Work with the Instructional Services Director at Distance & Online Education (DOE) to ensure all materials are accessible for DHH students taking online courses.
- Work with the Registrar’s Office to ensure that Speech-to-text providers and interpreters have a chair reserved for them in each classroom.
- Ensure quality services are being provided by making sure videos are captioned properly.
- Before each semester, the D/deaf and Hard of Hearing Services Coordinator will contact instructors to:
- introduce service providers and explain their role in the classroom.
- provide instructors with resources allowing them to effectively work with service providers.
- discuss additional accommodations and provide guidelines for working with D/deaf and Hard of Hearing students.
